Short version: to record an in-person meeting on an iPhone without a bot, tell the room, put the phone flat in the middle of the table and tap record in an app that transcribes on the device. Lyonesse shows the words as people speak, then writes a summary you can search and ask questions about.
- Tell everyone you are recording and get a yes.
- Put the phone in the middle of the table, microphone uncovered.
- Record 20 seconds and play it back before the meeting starts.
- Tap record and read along if you like.
- Tap stop, then read the summary or ask a question.
Set up the phone
Put the phone face up in the centre of the table, a little closer to the quietest people. Keep it off a laptop lid or a notebook edge, which pick up taps and rustles. Don't cover the bottom edge, where the microphone sits, with a case flap or your hand.
Before the meeting, record about 20 seconds of people talking at their normal seats, then play it back. If the far end of the table is hard to hear on the playback, move the phone or ask that person to sit closer. A transcript can only be as clear as the recording behind it.
Check battery and free storage too. A long meeting takes more of both than a short voice note, so plug the phone in if the meeting will run long.
Tell people first
Say you are recording and ask if that's fine, before the recording starts. It takes ten seconds, it is polite, and in many places it is the law. Rules differ by country and by US state: some places need everyone's consent, others only need yours. This is not legal advice. For the US, the Reporters Committee for Freedom of the Press keeps a state-by-state recording guide (checked 2026-10-10, the page shows no update date, so confirm with a lawyer for anything high stakes). Outside the US, look up your own country's rules, and your employer's policy as well.
Record and read along
Tap record in Lyonesse and the words appear as people speak. Glancing at the screen is a quick way to catch a name or a number you missed. When you stop, the app labels the speakers, and you can rename them afterwards so "Speaker 2" becomes a real name.
There is no bot and no meeting link. Anyone at the table is only in the recording if you've put the phone in front of them.

Once you stop, Lyonesse writes a summary on the device. Pick a style such as bullets, action items or an outline. You can then ask a question about what was said ("what did we decide about the launch date?") or search for the moment someone mentioned a word. Decisions and action items can go to Apple Reminders, and you can export the whole thing to PDF or text.
If you need formal minutes, our meeting minutes template shows the layout to follow. For client sessions, see how to transcribe client meetings without uploading them.
Where does the recording go?
This is the question to ask before you pick a tool. The main routes work differently.
| Route | What to check | Lyonesse |
|---|---|---|
| Meeting bot that joins a call | Built for calls, and the audio goes to the vendor's servers | No bot. You record the room from your own phone |
| Cloud note-taking app | Read its privacy page for where audio is stored and for how long | Transcription runs on the device in the languages with an on-device model |
| Hardware recorder | Extra device to carry and charge. Check whether transcription needs the maker's app or cloud service | Uses the phone you already have |
| Recording only, no transcript | You still have to listen back | Transcript, summary and search |
Lyonesse stores things as follows. Recording, transcription, summaries and Q&A run on the phone, and the app has no account. Audio stays on the device that recorded it. iCloud sync is on by default and copies transcripts and summaries, not audio, between your own devices, and you can switch it off in Settings. For a language with no on-device model, the app only uses Apple's servers if you allow that in Settings, and then the audio goes to Apple. The details are in the privacy policy. Before you rely on any other tool for a sensitive meeting, read that vendor's own privacy page.
When a bot is fine
If the meeting is on Zoom or Teams and everyone is remote, a bot is built for that job. Lyonesse is for the room. On a Mac you can also transcribe a Zoom or Teams call without a bot. If you're leaving a bot-based tool, see the Otter offline alternative. For the full setup and language details, read about offline meeting transcription and the private meeting assistant.
Frequently asked questions
Is it legal to record an in-person meeting?
It depends on where you are, and I can't give legal advice. Some places need everyone's consent and some need only yours. Telling people and getting a yes works in both. Check the guide linked above for US states.
Does it work with no internet?
Yes, once a transcription model is downloaded. In the languages with an on-device model, recording and transcription run on the phone. See the language list for which ones.
Can I get a summary?
Yes. The summary is written on the device when you stop, and you can ask questions about what was said afterwards.
Do I need an account?
No.
What if I only want to transcribe an existing audio file?
See how to transcribe audio on iPhone.
